Meeting Minutes for January 12th, 2010

The regular monthly meeting of the Fort Dalles Pro Rodeo Association was called to order at 7:00 PM January 12, 2010 at the Fort Dalles Riders Club by President Wally Wolf.

Present: Wally Wolf, Steve Hunt, Fred Fahrni, Chris Roberts, Jake Grossmiller, Dee Davidson, Steve Foster, Robin Sallee, Amanda & Michelle Hunter, Michelle Dollarhide, GeGe Villalobos, Barb Pizzola, Helen Rolfe, Bodie Rose, Matt Larsen, Chris Olson.

The December minutes were approved as corrected, Tim Verenberg will be the other bull fighter with Mick Thompson.

Treasurers’ report showed a balance in the bank of $10,231.20. Dee reported she had paid the loan fee of $250.00 for our 2009 credit line to Columbia River Bank. She has the Federal and State returns from the accountant. Our bottom line is <$17,786.45> for 2009. She is checking with Cypress Bay Enterprises about supplying a wireless cash machine at the 2010 rodeo. Dee will follow up on a donation we need to make to the 4-H Club who helped with the parade. Dee will investigate the water bill as it seems very high. Steve moved and Chris Olson seconded we apply for a Line of Credit with Columbia River Bank in the amount of $25,000.00 for 2010 with Wally, Steve and Dee as the authorized signers. Motion passed.

Fred Fahrni reported he had two bids for a Barrel Man/Specialty Act. John Beck from Utah is $800.00 per performance and Ike Pryor from Washington is $500.00 per performance. By general consensus he will hire Ike Pryor. He also report he has not received a contract from Gold Buckle Rodeo and is not sure of the status of the scoreboard. Scott Allen is going to be the announcer in 2010. Fred and Helen will get together via e mail to get our paper work in for the NPRA.

GeGe reported she is getting three bids for the Banquet-Coronation. Cousins, Cowboy Catering, and the Sugar Bowl. She will contact Doris about keeping the web site updated.

GeGe passed around her proposed Queen’s schedule and budget for review. Discussion on fund raising ideas for the coronation was held. Robin will apply to go to Rose Festival. Amanda Hunter, our 2009 Queen reported she won the Starlight Parade and is the 2010 Pro West Queen. Our best wishes to Amanda.

Steve reported we served 30 plus gallons of chili at the Starlight Parade. He felt it went well. Steve wants to replace section B with an aluminum section.

Jake gave a report on possible bands and DJ’s.

1. JBL will DJ and has lights for $1200.00 per night
2. Glen will DJ for $425.00 but has no equipment
3. CW a local DJ, could contact
4. K & J Productions will call Jake in the morning with a DJ bid for Friday
5. Karrie Cunningham and the 6 shooters are $2800.00 per night
6. Coyote Creek are $2000.00 per night
7. Concrete Cowboys are $3500.00 per night

Jake said he has contacted the Vault about splitting a band for the week-end, but has not heard. Robin said she talked to Concrete Cowboys and they would play Saturday Night at the Rodeo for $2000. After some phoning and much discussion Dee moved and Chris Olson seconded we hire Concrete Cowboys for $2000.00 for Saturday Night. Motion carried.

Barb reported all well from the beer and TETWP chairman. Dee reported she had been contacted by Autumn Woods of the Columbia Gorge Wine Growers about selling wine at the Rodeo. She advised her to contact Barb.

Wally reported at length about the Historic Dalles Days committee he, Jake and Michelle have been working on. They hope to start the celebration on Thursday July 8th and have activities everyday through Sunday July 18th. When the activities are firmed up we will attach a schedule to the minutes. Michelle D. asked if we had thought of sending out invites to be in the parade. Barb will check into getting the local high school band in the parade. Jake will contact Wells Fargo about their stage coach for the parade. True West Magazine voted The Dalles #10 western town to visit. A very good article. The Chamber has paid for an ad in the Magazine. Helen moved and Chris Olson seconded we purchase an ad in True West for $750.00 + or – at Wally’s discretion. Motion carried. Jake shared they are planning a bank robbery at the Gayer Building during Jammin July. More activities to come.

Some discussion was held on the rodeo posters. Barb asked if Optimist is a little high. Wally said Pepsi will do free posters if we get the info to them in time.

Matt reported everything good at the grounds, has been moving some stuff around.
Chris Roberts will be updating the arena signage.

Dee handed out the new name tags.

Some items of general interest that were brought up included:

1. Would like to have a meeting with Wonder Works to talk about concessions before we open it up to more vendors.
2. Need to look at selling the Pepsi ourselves.
3. Contestant parking is an issue, need to look at it.
4. Will hang the plaques we won from the NPRA at the Chamber.
5. Need to look closely at the sponsorship opportunities.
6. Maybe have an executive board meeting about finances after Dee gets Quick Books unlocked.

There being no further business, the meeting was adjourned at 9:00 PM.
